Faculty Hiring Process Volunteer Faculty

Phase 1: Preparing and Delivering Offer
Action Forms Required
1.       Department Chair prepares packet and delivers to                    FAPA
  • Chairs Memo
  • Candidate’s CV
  • 1 non-arm’s length Recommendation Letter
2.       FAPA drafts offer letter and obtains approvals from                  Dean  Offer letter finalized
3.       FAPA sends final offer letter to Candidate.  Offer letter delivered
4.       Candidate accepts or declines offer (continue                            negotiations or move to other candidates)
 Considerations:

  • Department solicits all required recommendation letters:
  • Recommendation letters are required prior to providing offer letter
  • Utilize Chairs memo template provided by FAPA. 
Phase 2: SHP On-Boarding (volunteers)
Action Forms Required
1.       FAPA connects with candidate (by phone or email) to              begin on-boarding process.
  • Medical clearance forms
  • Background check clearance
  • Risk and Claims (if for clinical faculty)
2.       FAPA  works with candidate to complete packet and                 obtain all clearances:
a. Medical clearance (waived for online/offsite faculty)
b. Background check clearance
c. Risk and Claims (if for clinical faculty)
3.       FAPA completes FTF and navigates final approvals with academic affairs.

Considerations:

  • FAPA will request background check clearance immediately.
  • FAPA will request candidate obtain medical clearance as background check is processing.

 

Phase 3: Guest NetID and Library Access
In order to obtain library services, a volunteer faculty member must first have a Guest NetID. This is processed through the RBHS Faculty Affairs office.
Action Forms Required
1.       The volunteer faculty member will complete the “Submit a request as a new Guest” form. https://requests.rutgers.edu/guest/guest.htm

 Enter the following information when prompted:
Designated Campus: RBHS
Department: RBHS Faculty Affairs
Sponsor: Karen Muller

2.       After the sponsor (Karen Muller) approves the request for Guest NetID, the volunteer faculty will receive an email informing them to activate their Guest NetID https://netid.rutgers.edu/activateNetId.htm

If the volunteer faculty would like to activate an RU email address, they will need to log in to their Rutgers portal and use the guest form to request “Additional Access to Resources

3.       Library Access:

When the Guest NetID is activated, the volunteer faculty member shall provide RBHS Faculty Affairs their Guest NetID via email. Library system updates are done weekly. It could take up to 10 days to receive library access.
