Faculty Hiring Process

FT, PT, and Per Diem – All Tracks

Phase 1: Position Activation/Advertising
Action Forms Required
1. Notify FAPA at beginning of search for new or replacement faculty.
2. Form search committee for faculty positions.  
3. Provide FAPA with Faculty Position Form, Job Description Template and/or External Advertisement.

*Per Diem postings will have a generic job description

4. FAPA will launch position in ROCS.
5. FAPA will provide ROCS link to department for use in outside advertising (optional).
6. Department will advertise position in other external venues.
 Considerations:

  1. Confirm budget approval prior to beginning search for replacement and new positions.
  2. All faculty positions must be posted in ROCs, preferably at the beginning of search.
  3. FAPA will assist department in ROCS administration – moving candidates, finalizing candidates, questions/issues.
  4. All search committee members can have access to the ROCS posting for viewing purposes.

 

Phase 2: Interviewing and Selection
Action Forms Required
1. Search committee reviews candidates and identifies those to be interviewed.
2. Search committee determines content, structure, and evaluation mechanism for interview process.
3. Faculty interviews are coordinated by the department.
4. Department notifies FAPA when top field of candidates is selected.
5. Department notifies FAPA when finalist is selected.  FAPA will move candidate to finalist in ROCS.
 Considerations:

  1. Interviewing will happen in all or some of the following phases: initial screen, phone interviews, skype/zoom interviews, 1 or more rounds of on-site interview/visitation.
  2. Final candidates will need to apply in ROCS prior to offer letter being finalized.

 

Phase 3: Preparing and Delivering Offer
Action Forms Required
1. Department Chair gains preliminary salary offer approval from Dean and Finance.
2. Department Chair prepares salary packet and delivers to FAPA
  1. Chairs Memo
  2. Salary Justification Memo (not required for Per Diem)
  3. Candidate CV
  4. Recommendation Letters
  5. Attachment H/Fac. Search Form (not required for Per Diem)
3. FAPA drafts offer letter and obtains preliminary approvals from Dean, Faculty Affairs, and Provost – as needed.
4. FAPA sends final offer letter to Candidate.
5. Candidate accepts or declines offer (continue negotiations or move to other candidates)

Phase 4: SHP On-Boarding
Action Forms Required
1. FAPA connects with candidate (by phone or email) to begin onboarding process. Hiring Packet delivered to candidate.
2. FAPA  works with candidate to complete packet and obtain all clearances:

a.  Medical clearance
b. Background check clearance
c. Risk and Claims (if for clinical faculty)
d. Employment eligibility verification (I-9)

3. Department provides FAPA with  salary justification memo Salary Justification Memo (not required for Per Diem)
4. FAPA completes FTF and navigates final approvals with academic affairs and UHR. Faculty Transaction Form
Considerations:

  1. FAPA requests those materials needed immediately (Background Investigation and Authorization to Obtain Consumer Report) to start background check  
  2. FAPA will request candidate obtain medical clearance as background check is processing.
